Bring a one-page map

Carry the meeting invitation, a short chronology, three evidence points and the questions that matter most. A compact map helps you listen instead of searching through a large file while people are speaking.

Ask about purpose and record

At the opening, clarify the purpose of the meeting, who will take notes and what happens next. If a new document is presented, ask for time to read it before giving a detailed response. Do not assume you must resolve every point immediately.

Answer the question actually asked

Pause, give the relevant fact and stop. Long explanations can introduce unrelated claims that are difficult to correct later. If you do not know or need to check a date, say that you will confirm in writing.

Make a prompt factual note

After the meeting, record attendees, time, documents shown, main statements, agreements and deadlines. Distinguish direct quotations from your interpretation. Correct a circulated record concisely where it misses a material point.
